This notice explains how Teddington Sofas uses personal information when you browse the website, contact the team or place an order. It is written for UK customers and sits alongside our Terms & Conditions, Returns Policy and Cookie Notice.

1. Who is responsible for your information?

Teddington Furniture Ltd, trading as Teddington Sofas, is the data controller for the personal information described in this notice. It is a company registered in England and Wales with company number 16293356 and registered office at 181c London Road, Waterlooville, England, PO7 7RL. 2. Information we collect

When you browse, the website keeps the sofa items and quantities you choose in your own browser so that the basket works. When you contact or buy from us, we may collect your name, email address, phone number, delivery address, order reference, items ordered, delivery requirements, messages and information needed to deal with a return, warranty claim or complaint.

If you choose to use the website WhatsApp enquiry form, we ask for your name and email before opening the WhatsApp chat. We record those details, together with the date you agreed, so that we can identify and respond to that enquiry. This form does not opt you in to marketing.

Square processes card payments through its secure checkout. We do not receive or store your full card number or card security code. We receive payment and order-reference information needed to confirm and manage the order.

3. Why we use it and our lawful basis

We use your details to answer enquiries, create and manage orders, take payment through Square, arrange delivery and installation, provide aftercare, handle returns or warranty claims, and communicate about your order. This is usually necessary to take steps at your request or perform a contract with you. For the optional website WhatsApp enquiry record, we rely on the acknowledgement you give in the form; you can ask us to delete that record at any time where we do not need to retain it for another legal reason.

We keep appropriate business and tax records because of legal obligations. We may also use limited information to prevent fraud, protect the website, resolve complaints and improve our customer service where this is in our legitimate interests and does not override your rights. We do not send marketing email or text messages unless we have the required permission.

4. Who receives your information

We only share information where it is needed to run the business. This can include Square for secure payment processing, Microsoft Outlook for customer email, the website hosting, storage and database providers that operate this site, and delivery or installation partners who need the relevant contact and delivery details. We may also share information where the law requires it or to establish, exercise or defend legal claims.

We do not sell customer information. If a service provider processes information outside the UK, we will use an appropriate lawful transfer mechanism and safeguards where required.

5. How long we keep it

We keep unsuccessful enquiries for up to 12 months, unless a longer period is needed for a related complaint. We keep order, payment and business records for up to six years from the end of the relevant financial year. We may keep delivery, return, warranty and fault-claim records for up to six years after delivery so that we can deal with your consumer rights and any claim. We securely delete or anonymise information when it is no longer needed.

6. Your rights

Subject to the UK GDPR, you can ask to access your personal information, correct inaccurate data, erase it, restrict or object to its use, or receive a portable copy. You can also withdraw consent where we rely on it. To make a request, email teddingtonfurniture@outlook.com with enough information for us to identify your records. We may need to verify your identity before responding.

7. Cookies and similar technologies

We use reasonable technical and organisational measures to protect customer data. No internet service is completely risk-free, so please contact us promptly if you think information relating to you has been misused.
